Main Duties
· Provide a first point of contact at the main reception for all general enquiries into the buildings, either in person or by telephone, e mail.
· Respond promptly and professionally to customer enquiries via telephone, e-mail and website, addressing enquiries and delivering relevant information.
· Provide accurate quotations based on client requests, ensuring clarity and detail in all communications
· Manage events calendar to ensure availability and avoid overbooking
· Handle challenging customer situations with empathy and confidence, striving for satisfactory resolutions that enhance the client experience. Contact customers who have not responded to quotations to answer any queries they may have and try to secure their business.
· Maintain accurate data entry and keep up to date records related to bookings, enquiries and payments using the Ivvy booking software platform.
· Process customer cash, card payments securely and efficiently, ensuring compliance with company protocols.
- Prepare monitoring and Facilities progress reports for use by CCH Board and Executive Leadership Team.
- Attend relevant training/development opportunities
- Coordinate the purchasing of regular supplies for Services across the buildings.
- Any other duties as may be appropriate or as directed by the line manager.
PERSON SPECIFICATION
Essential
o Strong customer service skills and experience
o Excellent communication and interpersonal skills including verbal and electronic applications
o Ability to work independently and as part of a team
o Good time management skills
o IT competency including Word, PowerPoint, and Excel
o Competence in Word processing and note taking skills
Desirable
Educated to HNC level, in business, administration or finance is desirable, or with current relevant experience within an office-based environment.
Ability to work under pressure and to tight deadlines in relation to both venue booking and admin support functions.

Duties
- Manage front desk responsibilities, including greeting visitors and directing phone calls with professional phone etiquette
- Assist with daily office operations such as filing, data entry, and maintaining organized records using Microsoft Office, Google Workspace, and QuickBooks software
- Support facility maintenance tasks like coordinating repairs, overseeing supplies inventory, and ensuring the workspace is clean and safe
- Enter data accurately into various systems, ensuring all records are up-to-date and easily accessible
- Provide administrative support by preparing documents, scheduling appointments, and managing calendars
- Facilitate communication between team members by distributing memos, emails, and notices effectively
- Assist in organizing meetings or events by setting up spaces, preparing materials, and handling logistical details
Skills
- Proven office experience with strong organizational skills to prioritize tasks efficiently
- Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and basic QuickBooks knowledge
- Demonstrated administrative experience with data entry, clerical tasks, and record keeping
- Strong phone etiquette with the ability to communicate clearly and professionally in all interactions
- Exceptional organizational skills to manage multiple responsibilities simultaneously
- Fast and accurate typing skills for efficient document preparation and data entry
- Familiarity with office equipment such as printers, scanners, and telephones
