Summary
We are seeking a highly organised and detail-oriented Administrative Assistant to support our team with a variety of clerical and administrative tasks. The ideal candidate will possess strong office experience, excellent computer skills, and the ability to manage multiple responsibilities efficiently. This role offers an opportunity to contribute to the smooth operation of our organisation while developing valuable skills in a professional environment.
Responsibilities
- The main responsibilities of the post holder will be to manage the process of insurance reports and SARs requests, ensuring the security of data and adherence to the Data Security and General Data Protection Regulations (GDPR). They will also be responsible for the distribution of Practice post and provide administrative support to the wider IT and administrative team.
Main Duties
- To process all request for insurance reports/ travel insurance/ foster medical forms /PIP claims and ROADS request for patient summaries.
- To prepare copies of patients records and redact relevant information via the IGPR system for solicitor’s requests and Subject Access Requests.
- To invoice and track payment for the provision of medical reports etc.
- To manage the collection and delivery of post and prescriptions from all sites on a daily basis. To distribute the post amongst the relevant clinicians.
- To assist in the monitoring and collation of information for quarter end reports.
- To set up scheduled tasks for monitoring purposes
- To provide administrative support to the wider IT and administrative team
Requirements
- Proven office experience with a solid understanding of administrative procedures
- Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint),
- Excellent organisational skills with the ability to prioritise tasks effectively
- Good typing speed and accuracy for data entry tasks
- Ability to work independently with minimal supervision while collaborating as part of a team
- Good understanding of General Data Protection Regulations (GDPR)
- Must be able to drive and have use of a car
