FULL JOB DESCRIPTION

About Us

We are a small group of psychology and therapy clinics providing evidence-based mental health and wellbeing services. Our work is growing quickly, and we’re looking for a motivated, detail-oriented person to support the operational, financial, and project-development side of the practice.

This is a varied role that combines administration, project management, and financial reporting — ideal for a psychology graduate or organised professional who enjoys systems, data, and helping things run smoothly behind the scenes.

The Role

You’ll work closely with the Clinical Director to keep the clinics running efficiently and help develop new services.

Typical responsibilities include:

  • Compiling monthly financial and performance reports
  • Supporting project delivery (e.g. new service launches, digital tools, or process improvements)
  • Tracking budgets, invoices, and key performance indicators
  • Maintaining operational documentation and compliance records
  • Assisting with recruitment, onboarding, and scheduling
  • Conducting research to support practice development
  • Providing administrative support to the leadership team

About You

You’ll thrive in this role if you are:

  • Highly organised with strong attention to detail
  • Confident with spreadsheets, numbers, and systems (Excel / Google Sheets / Airtable)
  • A clear communicator who enjoys solving problems
  • Comfortable working independently and managing multiple tasks
  • Educated to degree level (Psychology or related field preferred)
  • Interested in the operational and business side of psychology or healthcare
  • Good AI familiarity
  • Interested in accounting

Working Style & Accountability

This is a hybrid role, offering flexibility around how you structure your working day.

To help coordinate projects and ensure transparency, we use automatic time-tracking software (such as Hubstaff or Time Doctor). This records active work time and tasks for planning and payroll purposes — it’s fully visible to both parties and designed for fairness, not surveillance.

Regular check-ins and clear weekly goals help maintain communication and support.

What We Offer

  • Flexible remote working
  • Mentoring and training in practice management and business operations
  • Opportunity to grow into a Practice Manager or Project Lead role
  • Supportive, values-based environment
