London Contemporary School of Piano
Virtual Assistant – Scheduling
Around 25 hours per week (possible job-sharing)
Work from home
If possible occasional visits to our central London base for open evenings
Do you have experience handling multiple schedules for at least 10 people, booking in lessons or appointments for clients or students? And rescheduling when things change?
The VA Scheduler role
Ensuring smooth diary management considering all the parties and details involved in each lesson booking
Clear, professional, precise and timely communication with our students and the LCSP team
Some general admin
Responsibilities:
- Manage the school diary and schedule remote and studio lessons and courses for our students from all over the world.
- Solve scheduling problems and amend and reschedule lesson bookings for the piano coaches taking the needs of all parties into account.
- Come up with creative solutions to scheduling challenges when necessary
- Respond to students within a day
- Work with the Course Director on studio allocations for discovery sessions
- Follow all procedures and details when booking studios and online lessons
- Ensure students and coaches have all the information they need on their lessons and courses.
- Help students when they need assistance with accessing their student portal and digital library accounts or encounter problems
- Manage (create, edit, delete) coach and student accounts on MyMusicStaff and the course/digital library platform Samcart
- Check students’ accounts on MyMusicStaff to identify students whose programmes are about to finish to start a conversation about renewals.
About You
- You have at least one year’s experience scheduling appointments for a group of people
- You follow procedures carefully and efficiently
- You get things done
- You have great attention to detail and spot errors easily
- Your communications are clear, efficient and friendly and have a very good command of the English language, both spoken and written
- You are happy when customers and colleagues happy
- You can work with systems that aren’t perfect – and sometimes come up with ways of improving them
- If you have some musical background – you play an instrument or sing, that would be a bonus and advantage
