FULL JOB DESCRIPTION
We are looking for a proactive Virtual Assistant, with a background in assisting in professional services such as law, wanting to work as part of a strong fast paced team, that will communicate clearly and effectively while working remotely.
We specialise in providing niche service-based businesses with virtual assistance, online business management and strategy consulting.
What we’re looking for:
- Familiarity with Google Drive, SharePoint, Monday.com, and HubSpot
- Reliable, proactive, and a team player
- An individual who is self-motivated
- A minimum of 5 years’ experience within an office environment
- Previous work experience as a legal assistant or executive assistant
Responsibilities would include:
- Onboarding and Offboarding
- Setting up new clients and consultants in various systems
- Ensuring a smooth transition for clients/consultants
- Recruitment Support
- Organising CV s and running job postings
- Scheduling interviews and sending follow up emails
- Diary Management
- Booking appointments and scheduling meetings
- Setting up regular catch-ups for consultants and clients with key project updates
- Document Production
- Formatting existing documents and creating new ones
- Managing and maintaining document templates
- Preparing slide decks for training and webinars
- Data Entry and File Management
- Updating and maintaining records on various software
- Downloading, renaming, maintaining and organising files on cloud storage
- Timesheet Management
The Hours:
We are currently looking for assistance for around 20 hours per week, which would need to be completed in the hours of a 9am-5pm, UK time, and could be a spilt across agreed days of the week, with the potential opportunity for this to increase as our client base continues to grow.
