Our Health & Safety team is crucial to this mission by creating a safe and healthy environment for our staff and volunteers. With a presence spanning over 600 stores, 40 superstores, 4 distribution hubs, online marketplaces, 4 scientific research institutes (laboratories), and 2 head offices across the UK, the team provides expert health, safety, and wellbeing support. They ensure compliance with regulations and best practices while collaborating with a wide range of stakeholders.
We are seeking an Administrator to play a key role in supporting the Health & Safety team’s operations, systems, and processes. In this role, you will help streamline operations, enhance efficiency, and support the organization in meeting its statutory health and safety responsibilities. You will also have the chance to contribute to process improvements and really make the role your own.

WHAT WILL I BE DOING?
- Reviewing and conducting basic triage on accident and incident reports (c. 300 accidents and incidents a week). This involves assigning incidents to the appropriate team and maintaining accurate records (you will be trained on how to do this).
- Overseeing administration activities on safety management systems ensuring that accurate records are maintained, and actions are assigned to the appropriate teams.
- Providing administrative support to health and safety committees to ensure that meetings are scheduled, accurate minutes are kept, and actions tracked.
- Supporting the team to deliver a range of projects.
- Identifying and actioning opportunities to drive efficiencies with the team’s operations.
- Managing the health and safety inbox by replying to or referring to all email inquiries promptly.
- Maintaining and developing reports for senior management.
- Supporting the team with financial management by raising purchase orders and ensuring invoices are processed on time.
- Booking staff onto internal and external training courses (e.g. first aid) and maintaining compliance records.
- Drafting and distributing health and safety communications.
WHAT SKILLS WILL I NEED?
- Experienced Administrator with good working knowledge of Microsoft Office products (strong Excel desirable).
- Excellent interpersonal and communication skills with a proven ability to communicate effectively in writing, face-to-face, and by telephone with a wide-ranging audience to build good relationships.
- Well organized with the ability to prioritize your workload while coordinating multiple projects, conflicting priorities, and meeting tight deadlines.
- Strong attention to detail.
- Ability to work as part of a team and contribute towards the team’s collective success.
- Either immediately available or on one month’s notice or less.
- An understanding of health and safety and experience working in this area is desirable, but not essential meaning we welcome applicants without this experience.
