About the Role:
We are a dynamic family and group of companies seeking a highly organised and proactive Executive Assistant to support both our professional and personal lives. This is a hybrid role combining executive support for our businesses with family logistics and childcare coordination. You will be working closely with the directors across a range of tasks and must be comfortable in a fast-paced, family-oriented environment.
Responsibilities:
General Executive Office Support:
- Provide comprehensive administrative support to directors, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Handle incoming communications with professionalism, including excellent phone etiquette.
- Maintain accurate records and files through effective data entry and document management.
- Prepare reports, presentations, and correspondence as required.
- Organise office operations and procedures to enhance efficiency and productivity.
- Collaborate with team members to support various projects and initiatives as needed.
Executive & Administrative Support:
- Manage diaries, appointments, and travel arrangements for company directors.
- Assist with email and phone correspondence, preparing responses and maintaining records.
- Support basic bookkeeping, expense tracking, and document organisation.
- Liaise with internal teams, suppliers, and contractors across multiple business ventures.
- Maintain confidentiality while handling sensitive business and personal matters.
Family Support & Childcare Coordination:
- Assist with school and activity scheduling for three young children (ages 4 and under).
- Coordinate pick-ups, drop-offs, extracurriculars, and medical appointments as required.
- Provide supervision and care for the children at home during parents’ absence or travel.
- Support early education activities (reading, play-based learning, homework guidance).
- Travel with the family on occasion to assist with logistics and childcare during holidays.
Ideal Candidate Will Have:
- Proven experience in an administrative, clerical, executive assistant, or similar role, ideally within hospitality, construction, or consultancy sectors.
- Strong organisational skills with the ability to prioritise tasks effectively in a fast-paced environment.
- Proficiency in Microsoft Office (Word, Excel), Google Suite (Docs, Sheets, Slides), and experience using QuickBooks or other finance tools.
- Familiarity with office equipment and basic IT troubleshooting.
- Ability to work independently as well as part of a team, demonstrating initiative and problem-solving capabilities.
- At least 2 years of experience in a personal, executive assistant, or management role, or in a similar support capacity.
- Experience with children, ideally in a nanny, educator, or family PA role.
- Strong organisational and multitasking abilities.
- Excellent written and verbal communication in English.
- Tech literacy: comfortable with email, calendars, cloud file management, basic Excel/finance tools.
- Trustworthy, discreet, and adaptable to changing routines.
Preferred Qualifications:
- Background in administration, childcare, education, or business support.
- First Aid certification or willingness to obtain.
- Clean driving licence (should be obtained within the first 6 months if not already in place).
- Eligible to work in the UK or willing to apply under a Skilled Worker visa.
Working Hours:
- Full-time position (typically 40–45 hours/week), including some flexibility for evenings or travel.
- Schedule to be agreed based on family and business needs.
