FULL JOB DESCRIPTION
Virtual Administration Ltd is seeking highly-skilled home-based Personal Assistant/Administrator to work from home to support a brain injury charity. This is a self-employed position working as an Associate of the company. You will be responsible for paying your own tax and National Insurance.
Virtual Administration Ltd was founded in 2006. We are a home-based team of 24 professional, experienced Virtual PAs who provide flexible, reliable and affordable administrative support to over 80 clients. We work with and support a very niche client market of private occupational therapists, case managers, physiotherapists, speech and language therapists, neuropsychologists and other independent healthcare professionals.

Ideal Candidate
- You must be a confident, friendly communicator with great empathy and enjoy working remotely. We are looking for an individual who must:
- Have at least 3 years PA experience at director level.
- Be based in the UK and eligible to work in the UK.
- Have excellent communication skills.
- Be happy to take part in Zoom meetings on occasions later in the afternoon, as the director travels to the USA.
- Have excellent English, grammar, punctuation, proof reading and formatting skills and good numeracy.
- Have excellent organisational skills.
- Be confident in corresponding by email and telephone accordingly to requests and tasks.
- Be able to prioritise tasks accordingly when dealing with lots of different tasks.
- Be a self-starter, able to work with little assistance and use own initiation and judgement.
- Have good knowledge of Microsoft Office Suite.
- Have a calm manner under pressure.
- Be resilient and tenacious.
- Strong levels of initiativeÂ
This will be the list of tasks you will be carrying out:
- Volunteer paperwork
- Update current, delete duplicates etc, standardise policies and forms and create a pack.
- Solicitors
- Liaise with Solicitors, arrange meetings, keep paperwork up to date.
- Email InBox
- Delete, forward and file where necessary.
- Liaising re: Microsoft Migration
- Research re: website pages, embossing stamp, GDPR.
Events:
- Arrangements/venue liaison/payments.
- Just Giving Pages (fundraisers).
- Eventbrite.
- Merchandise preparation and ordering.
- Individual fundraisers:
- Arrangements for those taking part.
- Just Giving Pages.
- Merchandise ordering and distribution.
Books:
- Distribution of donations and sales.
- Contact Children’s Authors and Magic Pencil.
- Place orders for new prints.
- Travel arrangements:
- Book train tickets for team when travelling to events.
- Coordinating Care Packages
- Liaising with Box of Hugs.
- Website and App support
- Weekly meetings with actions to carry out.
You must have:
- A reliable and suitable computer, printer, scanner and internet connection..
- Microsoft Office including Microsoft Outlook (desktop version).
- Robust cybersecurity in place.
Desirable
- Healthcare administration and charity administration experience.
- Appreciation of patient confidentiality, data protection (GDPR) and medical ethics.
- Good balance of professionalism, fun and light-hearted.
