The Administrative Assistant is responsible for daily reception-related duties but with a heavy emphasis on office management, vendor management, and event planning/execution. This role will also assist the Executive Assistant in supporting the executive team with various tasks.

This position reports to the Administrative Manager & Executive Assistant and is part of the Administrative Team located onsite in our Torrance office.

In this role, you will have the opportunity to:

  • Assist Executive Assistant/Administrative Manager
  • Support executive team (expense reports, team-specific requests)
  • Onsite event planning and execution
  • Offsite philanthropy event planning and execution
  • Co-manage admin form requests
  • Food service requests
  • Event service requests
  • Office supplies and mini-project requests
  • Manage front desk reception
  • Utilize the call transfer process
  • Review, organize, scan, and distribute mail, faxes, and e-faxes
  • Greet customers, vendors, and associates

The essential requirements of the job include:

  • 1+ years of administrative work
  • 2+ years experience using Microsoft 365 (Word, Teams, Outlook, Excel, PowerPoint)
  • 2+ years working in corporate culture
  • Travel, Motor Vehicle Record & Physical/Environment Requirements:
  • Ability to lift, move, or carry equipment up to 25 pounds
  • It would be a plus if you also possess previous experience in:
  • Event planning
  • Working with executives
