Position Overview:

We are seeking a highly organized and detail-oriented Remote Administrative & Support Specialist to assist with daily operations. This role is open to people passionate about serving their community.

As an Administrative & Support Specialist, you will play a vital role in keeping our nonprofit programs running efficiently, assisting with virtual office operations, supporting case managers, and ensuring that clients receive the services they need.

Key Responsibilities: Administrative & Virtual Office Support:

  • Answer and direct phone calls, emails, and online inquiries professionally and timely.
  • Maintain electronic records & databases, ensuring accuracy and confidentiality
  • Prepare reports, letters, presentations, and digital documents as needed
  • Assist with scheduling virtual appointments, meetings, and training sessions.

Client & Program Support:

  • Support case managers in tracking client progress and intake records.
  • Assist with virtual intake processes, ensuring all forms and documentation are complete.
  • Provide remote assistance to clients in navigating program procedures.

Data Entry & Documentation:

  • Maintain and update digital databases of program participants, donors, and community partners.
  • Track and report program performance metrics and outcomes.
  • Ensure compliance with data confidentiality policies.

Virtual Coordination & Communication:

  • Ensure virtual office systems (email, cloud storage, CRM, scheduling software) function smoothly.
  • Assist in organizing virtual fundraising events, webinars, and community outreach.
  • Provide tech support for virtual meetings and training.
  • Work closely with leadership, staff, and volunteers to ensure smooth workflow.

Volunteer Transition to Paid Roles

COCAS offers opportunities for individuals looking to gain experience in nonprofit administration and social services.

Transition to a Paid Role: Volunteers who demonstrate reliability, strong performance, and commitment may be eligible for a paid position within 30 to 60 days, based on organizational needs and funding availability.

Qualifications & Skills:

  • Education: High school diploma required; Associate’s or Bachelor’s degree in Business Administration, Social Work, Human Services, or a related field is a plus.
  • Experience: Previous experience in administration, remote work, nonprofit support, or customer service is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • Experience with virtual meeting platforms (Zoom, Microsoft Teams, Google Meet).
  • Familiarity with CRM systems, cloud storage, and digital documentation tools.
  • Communication Skills: Strong verbal and written communication skills with a professional demeanor
  • Organizational Skills: Ability to multitask, prioritize, and meet deadlines efficiently.
  • Cultural Competency: Ability to work with diverse populations and maintain confidentiality..

Additional Requirements:

Background Check: Required for all paid and volunteer positions.
Drug Test & LiveScan Fingerprinting: Candidates must cover the cost of their own background screenings.
Mandatory Meetings: Attendance at scheduled virtual staff meetings and training sessions is required.
