About the Opportunity
Wound360 is recruiting on behalf of a specialized wound care practice dedicated to delivering high-quality wound care services across various healthcare settings. This growing practice prioritizes exceptional patient care while maintaining efficient clinical and operational workflows.
A highly organized, proactive, and detail-oriented Executive Assistant is needed to join the team. This role extends beyond traditional administrative support, offering the opportunity to grow into a Practice Administrator position. The ideal candidate will play a key role in overseeing daily operations and supporting the practice’s continued expansion.
Responsibilities
Administrative & Office Management:
- Managing and triaging incoming calls, emails, and texts.
- Overseeing provider licensing, credentialing, and compliance tracking to ensure seamless workflow and high-quality patient care.
- Organize and maintain documentation for clinical and operational needs.
- Facilitating communication between patients, referral agencies, and billing teams
- Establish and enforce office policies and procedures, ensuring compliance with HIPAA and healthcare regulations.
- Serve as the primary point of communication between providers, patients, and administrative staff.
Scheduling & Workflow Management:
- Managing and updating schedules and action items in Google Sheets
- Ensuring accurate scheduling by rectifying patient visits in WoundAlly
- Opening and preparing daily clinical notes in Aprima for the physician
- Coordinating with SNFs, referral agencies, and billing teams to ensure smooth operations
Operations & Compliance:
- Retrieving, processing, and managing weekly paper mail from the UPS mailbox.
- Assisting with insurance verification and compliance-related tasks.
- Conduct quality assurance projects and collaborate with leadership on compliance measures.
- Working with vendors to maintain seamless platform operations (WoundAlly, PCC, etc.).
- Support billing, claims submission, and audit preparation to ensure proper documentation
- Oversee financial performance, budgeting, and expense management to support practice growth.
- Ensure adherence to accrediting and licensing bodies, working with leadership on compliance initiatives.
- Stay updated on healthcare industry trends and best practices to enhance operational efficiency.
Qualifications:
- At least 3+ years of experience as an Executive Assistant, preferably in a healthcare or clinical setting
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent communication and problem-solving abilities.
- Proficiency in EHR systems, Google Suite, and other healthcare tools.
- Ability to work independently and take ownership of tasks.
- Spanish-speaking skills (a plus)
