FULL JOB DESCRIPTION

As our Virtual Assistant, you will be the go-to person for administrative support, communication, and organization. You’ll work closely with our leadership team and various departments to ensure smooth operations across the board. The ideal candidate will be self-motivated, tech-savvy, and capable of juggling multiple priorities with ease all while maintaining a high level of professionalism and discretion.

KEY RESPONSIBILITIES

Executive & Administrative Support:

  • Calendar Management: Coordinate and manage appointments, meetings, and travel arrangements for senior executives.
  • Email & Communication: Organize and respond to emails, prioritizing important tasks and ensuring prompt responses.
  • Document Preparation: Assist in creating presentations, reports, spreadsheets, and other documents to support team projects.
  • Data Entry & Organization: Maintain databases, spreadsheets, and internal systems with high accuracy.

 Customer Service & Client Relations:

  • Serve as the first point of contact for client inquiries via email, live chat, and phone, providing exceptional customer support.
  • Handle customer issues professionally, escalating matters when necessary to ensure customer satisfaction.
  • Maintain detailed records of all client interactions and ensure follow-ups are held

Project Coordination & Task Management:

  • Track progress on key projects, ensure deadlines are met, and coordinate communication between departments.
  • Schedule team meetings, prepare agendas, and manage follow-up action items.
  • Support special projects by conducting research, gathering insights, and providing timely updates.

Research & Reporting:

  • Conduct market research, competitor analysis, or other ad hoc research as needed to support business development initiatives.
  • Compile and analyze data to create reports that support decision-making processes.

Social Media & Content Assistance:

  • Assist in managing social media accounts, including content scheduling, basic post creation, and responding to engagement.
  • Monitor online presence and suggest ways to enhance visibility and interaction.

EXPERIENCE & SKILLS:

  • Proven Experience: 2+ years of experience as a Virtual Assistant, Executive Assistant, or in a similar remote administrative role.
  • Tech Proficiency: Mastery of tools like Google Workspace, Microsoft Office, and project management software (Asana, Trello, Slack, etc.).
  • Communication Excellence: Superior written and verbal communication skills, with the ability to convey information clearly and concisely.
  • Organization & Multitasking: Impeccable organizational skills with the ability to manage multiple tasks and deadlines simultaneously.
  • Problem-Solving Mindset: A natural ability to identify and solve problems quickly, anticipating needs before they arise.
